>> larry: hello and welcome to the show.today we are going to ask sarah for a little help understanding emanager.>> larry: hi sarah and welcome. i have a question about emanager.>> sarah: ok, what can i help you with? >> larry: i was actually wondering ifyou could give me a quick overview of the system.>> sarah: sure, what part of emanager were you thinking about?>> larry king: oh, just the ordering part. there seems to be a lot going on here.>> sarah: there is, but it's really easy to understand.>> sarah: lets go take a look at the board. jere michals is the programmer andhe is so easy to work with.

>> sarah: this is the main screen ofthe ordering part of emanager. in this example, i tried to show as many possibilities as possible.>> sarah palin: the main idea is to use emanager to build a custom ordering form for the customerso that they can use the form to send you a supply order. once you get the wishes ofthe customer via email, you process the order in oracle like normal. the ordering systemis very flexible to where you can do almost anything... but if there is something thatyou'd like added to the system or perhaps changed, talk it over with jere michals.>> larry: ok, ok. that's all very nice. >> larry: but i think i should back upa bit. i have some notes back on the desk. >> larry: there are 2 parts of emanagerthat look really similar to each other. the

quote part and the ordering part. for starters,how could i tell where it is that i'm at. i've noticed that i'm bouncing back and forthbetween the two and sometimes i get confused. >> sarah: it's only a little confusinguntil you know what to look for. let's look back at the board. color plays an importantpart in emanager. i'm sure you noticed that even these indicators of the company namelook the same in both the quote part and the ordering part and how easy it is to know whatcompany you're working on. >> sarah: but knowing what part of emanageryou're on is easily noticed by this bar color. blue is for quotes and red is for ordering.plus on top of the thicker bar it says supply quotes or supply ordering, depending on whichside you're on.

>> larry: um, since we're running outof time on the show, maybe you could just quickly run through all the options on thispage. >> sarah: ok, sure. looking at the boardagain. >> sarah: starting from the top of thepage. >> sarah: the name of the company hereis also a link to go back to the main details page for the company.>> sarah: straight to the right is what's called the main menu.>> sarah: hover your mouse over the main menu to see the options in it. with thismenu you can quickly move around your quotes and your supply ordering pages. the top 2are for the company you're working on and

the bottom 2 are for all companies.>> sarah: a little lower is a grey colored bar that has 4 links in it. they are "faxcover sheet", "print", "transfer account" and, "log activity".>> sarah: the fax cover sheet is a simple way to create a cover sheet because it usesthe information you already added to emanager. you may also change any of the informationthat has been automatically populated on the form. when the form part is filled out theway you need it to be just click the continue button and print the following page.>> sarah: if for some un-likely reason you needed to print an emanager page, youwould need to click this print link first and then print the page. you won't be ableto use your normal print option in the browser.

>> larry: whoa, i don't print a lot butare you saying that i cannot just print the page like i normally do? using the print button?what happens if i do? >> sarah: if you used the normal printbutton first, all you could print is a message that says you cannot print emanager pagesby clicking on your print button first and to click on the print link first instead.>> larry: i understand. let's move on. >> sarah: the transfer account optionis here for you to "give" an account to someone else. the emanager system doesn't allow youto "take" an account. if you notice that someone has your account, just ask them to transferit to you. >> sarah: the log activity link is soyou can quickly log what you've done and perhaps

set a future date to do something else likecall them back on the phone. >> sarah: the delivery address linkhere is simply a "quick scroll link" to take you to the delivery address section that isbelow the ordering part of the page. you can also use your key-board [home] and [end] keys.this is here because sometimes the ordering page is quite long and provides a easy wayto get to the delivery addresses of the page so you can manage them.>> sarah: the input box with the [add] button next to it is how you add an orderingpage for the customer. type in a section name and click the add button to get started. asection name is for the section of the company. some companies are huge and have differentsections within their company like warehouse,

accounting, etc.>> sarah: you can make an ordering form for each section within that company if youneed to. (some companies let individual sections of the company order supplies for their equipmentbecause that company may not expect one department to know what the supply levels are in a differentdepartment of theirs) for example: accounting could be one section name and warehouse couldbe another. if you used both of these section names they would be listed as separate orderingpages. you could send the link to that ordering form to your contact in that department andthe other link to that contact in that different department.>> sarah: this is very handy to get proper order requests sent to you becausethe ordering form only has what they need

to order on it. thus eliminating the accidentalordering of something they don't even have in their department.>> sarah: you can also make just one ordering form if the company wants only oneof their people to do all the ordering for supplies and make the other sections withintheir company contact them and say they need something. for example: "front office" couldbe the section name. you can use section name to single out a branch if you don't have differentbranches in emanager already. for example: abc company la and abc company oc or evenabc company hb >> sarah: after you add an orderingform section, you'll see a single line that you just added with the section name in coloredin blue.

>> sarah: also, that line has a numberof icons on it. let me quickly go through them starting from the left.>> sarah: the truck icon is for delivery addresses. you would click on it when youwant to add or manage the delivery addresses for the company.>> sarah: the notes icon is for adding a special notes page that only that customercan see. it is only for that ordering form, meaning that each ordering form you createyou can have a new notes page for the customer. the customer will see a link on their orderingform saying that there are notes from you. you can use it for whatever you need likefor extra help and maybe some contact information or not use it at all. the notes link on thecustomer's ordering form only shows if you

are using notes. there's no link if you arenot using notes. >> sarah: this delete icon is for theentire ordering form. it will delete all mainframes and items along with the ordering form itself.it's mainly there in case you added an ordering form by mistake. you only get two chancesto change your mind on deleting everything and you can't undo the delete after you deleteit. >> sarah: this edit icon is to editthe main information of the ordering form. not the details.>> sarah: you can edit the section name, the default email address and the p.o. number.on the actual edit page, there are additional notations that explain each box. you shouldread these at least once.

>> sarah: the link or chain lookingicon is what you click on to send the ordering form link to the customer. on that link page,you'll see a grey box with a big link in it. that's the link the customer clicks on toget to the ordering form. send the customer that link when you are completely done makingthe ordering form. >> sarah: also on that page is a buttoncalled "email link". clicking that button will automatically open a new email for youand populate some starter text including the link to the ordering form. below that buttonis the text that will populate your email. since this is just an email, you can changeanything you want. it's just some starter text for you. the "email link" button onlyworks in windows xp. if you are using windows

7, the button won't populate the starter textbut you can copy the starter text and paste it in your email manually.>> sarah palin: the magnifying glass icon is a preview of sorts. it goes to the customer'sordering form. you can use this to pretend you are the customer and test out how theordering form works and looks from the customer's perspective.>> sarah: the "edit company name" link is here for when you have those company names that emanager automatically changes. for example: "wait! let me zoom in a little" thecompany name of u.s. metro bank would look like the "s" is in lower case in emanager.it would also be lower case on the customer's view. the "edit company name" option allowsyou to change the company name to the proper

looking capital "u" and capital "s". if youclick on the yellow question mark, a sample of what the name looks like will be shownalong with it saying that it's a "custom name" instead of it saying "default". this changedname will be used on the customer's ordering form.>> sarah: the far right of this row is a link called "add mainframe". click thislink to add a mainframe to the ordering form. there are just 3 things on the next screenyou see after you click the link. the name of the mainframe, serial number (which isoptional) and a drop down list of manufacturers. >> sarah: after you add a mainframeto the ordering form, you can add items to that mainframe. the items are the suppliesor things that the customer orders.

>> larry: oh, i see. that makes a lotof sense. first you add the ordering form, then you add a mainframe to it and lastlyyou add some items to the mainframe. >> sarah: yes, with a small amount ofguidance to get started you have enough information to use both ordering and quotes.>> larry: that is absolutely excellent. i cannot wait to use this because i knowi am going to zip right through it. >> larry: well, that's about all thetime we have. >> larry: before we go, i would liketo point out that on emanager there are clips of our discussions but they are in a moredetailed setting. not an overview like this one.>> larry: i would like to thank you for
